What is a Task Audit?

A Task Audit consists of 2 parts - start with creating a master list of all the tasks you do on a regular basis, then categorizing these tasks into the following categories:

Tasks that only you should do

This is such an important realization for many designers, there are certainly some tasks in your business that you as a designer should be doing. It is important to make this list, it will remind you of why you started a career in interior design.

Tasks that need an SOP (Standard Operating Procedure)

These are repeatable tasks that should not require decision-making every time. Think about tasks like onboarding a new client, ordering samples, or creating purchase orders. Once documented, these tasks become transferable and can be done by anyone without your supervision.

When tasks lack SOPs, they take longer than necessary, can’t be delegated easily and create inconsistency

Tasks that need automation

Many designers are manually doing things that software could handle quietly in the background. For example a CRM can send out a Welcome email, allow a consultation to be booked instantly and can even collect payment without you doing a thing!

Tasks that need a template

If you’ve done the same thing twice, it needs a template, this could be an email, a proposal, a presentation or a weekly update to clients. Templates improve speed, consistency, and professionalism. They also make onboarding a VA significantly easier, when you can easily refer them to a template.

Tasks to outsource to a Virtual Assistant

These are tasks that must be done, but do not require your design expertise: Delegating these tasks doesn’t make your business feel less personal. It makes it more professional and clients feel the difference immediately.

At the end of this process you will realize how powerful a Task Audit can be. This process should instantly create clarity, help you view your business from a different standpoint and give you an action plan to move your business into its next phase.

What is the best way method to do a Task Audit?

As you all know, I love Trello and do my Task Audit in there , but this process can easily be done in any Kanban type of software like Asana and Monday. The great thing about using Trello, is that I can easily drag tasks from one category to another and I also colour code to the tasks, so that I can see the impact this task has the different sectors of my business.
